  3. To do a simple keyword search of the repository,

    • Type your search term(s) in the blank text box, and then click the Search button.

    Hints:
    • If you type more than one search term, the system assumes there is an AND between the terms and will find only objects that have both terms in indexed fields.
    • You can search using a phrase, which must be in quotation marks, for example, "road warriors".
    • You can use wildcards in your search. A question mark (?) represents a single wildcard character, and an asterisk (*) represents one or more wildcard characters.

  5. To see a table of ALL the objects in the repository sorted by created date,

    • Click the Search with a blank text input

    To see the titles only of ALL the objects in the repository sorted alphabetically,

    • Click the Browse links in the menu bar. You can choose to browse by other indexes such as author, keyword, date, title, faculty and collection

    To find a specific author,

    • From the Browse menu bar, click 'Browse by Author/Creator'. You can enter first few letters of the author's surname, then click 'Submit Query' to find a list of matching authors

  2. UNSWorks is an online institutional repository or collection of UNSW research output.

  3. What is the purpose of UNSWorks?
  4. UNSWorks, a UNSW Library service for Schools, Centres and Institutes of the University, aims to increase the exposure of UNSW research by making it available globally, free of charge. It is part of an international movement to enhance scholarly research communication by establishing a system of open access and interoperable repositories for curation of research material. In addition to making UNSW research more visible and accessible, UNSWorks assists researchers and academics with managing their research material by providing a stable and enduring home for the their research output.

  5. How is UNSWorks different from ARROW@UNSW?
  6. ARROW@UNSW was part of a national research project, ARROW, which was funded by the Australian Commonwealth Department of Education, Science and Training (DEST) to identify and test software or solutions to support best practice institutional digital repositories. UNSWorks is the UNSW Library service that resulted from the ARROW project.

  8. For the purposes of UNSWorks, research output includes original scholarly or research-oriented publications, objects, and collections.

  9. Who can deposit material in UNSWorks?
  10. UNSW staff and students who possess a current staff/student number and an activated Unipass can deposit research material into UNSWorks. Material can be deposited by administrative or other research support staff, on behalf of authors or creators. When material is deposited on behalf of an author or creator, an email will be sent to the author or creator who authorised the deposit, asking them to agree to the rights and licence relating to the deposit. The deposited material will not be publicly available on UNSWorks until this procedure has been completed.

  11. Whose research material can be deposited in UNSWorks?
  12. The authorship criteria for research material in UNSWorks are that:

    • at least one of the creators or authors has an affiliation with UNSW. The creator or author may be a UNSW staff member or student within a UNSW School or Centre. They may be a visiting scholar to UNSW.
    • the research publication, object or collection is associated with or sponsored by UNSW. For example, a UNSW affiliated Centre may publish a series of research papers where the authors are not UNSW staff or students.

  13. Can I, my School, Research Centre or Research Institute use UNSWorks to archive our publications?
  14. Yes, UNSWorks is a centralised collection of the University's research output and will provide a stable and enduring home for publications and other research material. It is possible to search or browse for lists of publications of a particular School, Centre or Institute.

  15. What types of research material can be deposited in UNSWorks?
  16. The following types of research material are included in UNSWorks:

    • journal articles
    • research papers/reports
    • working papers
    • technical reports
    • conference papers
    • books
    • book chapters
    • small-sized datasets accompanying papers/articles/reports
    • images used for research
    • audiovisual objects
    • multimedia material
    • interactive media
    • masters by research and PhD theses, as already collected in Australian Digital theses (ADT)
    • computer programs
    • conference posters
    • works of art

  17. What research material cannot be deposited in UNSWorks?
  18. The following types of research material are not included in UNSWorks

    • material intended for commercialisation
    • material containing confidential or proprietary material
    • material that should not be made publicly accessible for reasons of cultural or commercial sensitivity
    • material that contains offensive, defamatory or unlawful content
    • research publications or collections which, if disseminated by UNSWorks, would infringe a legal obligation of the University of New South Wales and/or the author(s) or creator(s), or the legal rights of the third party
    • honours theses and undergraduate essays
    • draft papers or draft versions of papers released for discussion
    • material intended for teaching and learning (e.g. course notes, reading material.)
    • administrative documents and records, including those associated with research projects.

  19. If my research doesn't fit into the categories in the 'Resource Type" dropdown list, can I still deposit it?
  20. Yes, research material that does not fit these categories should be entered as 'Other Resource.' Information about the resource, including publication, production and format details, along with other descriptive details relating to time, place and duration should be included in the 'Additional Information' text box. UNSWorks will be adding categories for less traditional research types in the near future.

  21. How can I add monographs?
  22. You will need to check that the copyright agreement with the publisher allows authors to self-archive before depositing the full text version of a monograph. Most publishers, particularly commercial publishers, prohibit publications from being uploaded and distributed on the internet. Research material published by UNSW which is already available on the internet at no cost should be uploaded to UNSWorks as well. In cases where the publisher does not permit the full text version to be added to UNSWorks, bibliographic details, including an abstract, should be entered.

  23. What are RFCD Codes?
  24. RFCD codes are Research Fields, Courses and Discipline classifications. They are used by the Commonwealth Government Department of Education, Science and Training (DEST) to classify academic research.

  25. How many keywords can I add?
  26. There is no limit to the number of keywords you can add. Most items on UNSWorks include between three and eight keywords.

  27. What is a 'creator'?
  28. While the majority of text-based content in UNSWorks is assigned to 'authors', non-text research outputs such as works of art, film and multimedia material are more appropriately assigned to 'creators'.

  29. Do I enter the full or abbreviated version of the journal name?
  30. The full name of journal of the journal should be entered.

  31. Can I deposit class notes and PowerPoint presentations in UNSWorks?
  32. Class notes and other teaching material, including PowerPoint presentations are not included in UNSWorks. They can be added to My eLearning Vista, a web based eLearning application used at UNSW for online learning and teaching activities. http://support.vista.elearning.unsw.edu.au/

  33. Can I deposit PowerPoint presentations from public lectures in UNSWorks?
  34. As long as the lecture meets the criteria for inclusion of material, that it is an original scholarly or research-oriented presentation, the PowerPoint presentation and full text paper can be deposited in UNSWorks.

  35. What file format types can be deposited in UNSWorks?
  36. Material is accepted in most common digital file formats, with the exception of PhD and Masters by Research theses, which are accepted as pdf files only. UNSWorks may need to alter the format of some file types, if necessary for preservation purposes or for ongoing accessibility.

  37. Which formats of digital video can be uploaded?
  38. UNSWorks is designed to support any format of digital video. The file format only becomes an issue if the person trying to view the video doesn't have the appropriate viewing program installed on their computer. Therefore, it is best to use a well-known or widely supported file format.

  39. When I deposit material in UNSWorks will it be immediately available to the public?
  40. When material is deposited it goes through a review process in which UNSWorks staff check that details have been correctly entered and that providing online access to the material will not breach copyright or other rights.

  41. Can I remove material from UNSWorks at a later date?
  42. UNSWorks content is intended for permanent storage and enduring access and will only be removed in exceptional circumstances.

  43. Under what circumstances will material be removed from UNSWorks?
  44. UNSWorks staff will remove material from the repository if it is in breach of copyright, if it contains confidential, proprietary or sensitive material, if it contains offensive, defamatory or unlawful content, or if it infringes legal rights or obligations. In some cases a record of the material, including bibliographic or production details and an abstract, may remain in UNSWorks.

  45. Can I deposit my work in UNSWorks if it includes quotations, images, graphs or other material from work of other people?
  46. Because UNSWorks content is freely available on the internet, the fair dealing exemption in the Copyright Act relating to research or study will not apply, as the purpose of the reproduction is no longer only research or study. This means that particular care must be taken to ensure that reproduction of images, diagrams, graphs, extended quotations, musical scores and multi-media works does not infringe the copyright of another. For print works, short quotes will generally be acceptable without permission. However, the depositing author must obtain written permission to include other copyright material in works deposited in UNSWorks.   47. Who owns copyright of UNSWorks material?
  48. Depositing material in UNSWorks does not alter existing copyright of the work. In cases where the author or creator is the copyright owner of a work, copyright is retained by the author or creator after it is deposited in UNSWorks. In cases where the publishing agreement assigns copyright to the publisher, the agreement is unaltered and copyright remains with the publisher.

  49. Can I deposit a journal article in UNSWorks if copyright is owned by the journal publisher?
  50. Most academic journals now routinely allow authors to store, or self-archive, a copy of the manuscript version of their papers in institutional repositories. Policies of specific publishers are available at <http://www.sherpa.ac.uk/romeo.php>. UNSWorks staff will check that the publisher allows author self-archiving before uploading deposited material for access through UNSWorks. Where an embargo period for access to the full-text version of an article is imposed by the publishers, authors can still deposit their research material, which will automatically be released and uploaded into UNSWorks at the end of the embargo period. In cases where the publisher does not permit self-archiving, depositors will be required to gain permission to deposit their article in UNSWorks. If this permission is not provided a full copy of the research material will not be accepted into UNSWorks, but a record of the publication details, including bibliographic information, can be submitted.

  51. Does UNSWorks provide a link to my journal article on the publisher's website?
  52. Yes, when a digital copy of material deposited in UNSWorks is available on a publisher's website a link to the site will be provided.

  53. Do I need to tell co-authors that I am depositing their work in UNSWorks?
  54. Yes, where there are multiple authors, all co-authors must agree to deposit a copy of the research material in UNSWorks. An exception to this rule applies if copyright is held by UNSW (e.g. Research Centre or School reports), in which case the Head of School, Director or other authorised person must agree to the work being deposited.   55. Can material be deposited in the institutional repository of more that one university?
  56. Yes, an item with multiple authors can be deposited by co-authors in the institutional repositories of their universities.

  57. Will my research material remain in UNSWorks when I am no longer employed at UNSW?
  58. Yes, UNSWorks is a continuing collection of UNSW research output and deposited material remains in the repository after an author leaves the University.

  59. Can I deposit my research material from UNSWorks in the repository of another university after I leave UNSW?
  60. In depositing material in UNSWorks you grant UNSW a non-exclusive licence. This means you are free to deposit it in other institutional or subject-based repositories. You will need to refer to the policy of the institutional repository at the new university to check whether research work from previous institutions is accepted.

  61. What rights do I give to UNSW when I deposit material in UNSWorks?
  62. At the end of the deposit process, the author or creator agrees to grant The University of New South Wales necessary non-exclusive rights to make the material available permanently online, at no charge and with no access restrictions, and that UNSWorks has the right to alter the format of deposited work, if deemed necessary for preservation and enduring accessibility. Material deposited in UNSWorks is licensed under a Creative Commons Attribution-NonCommercial-NoDerivs Licence, which permits that material accessed from UNSWorks can be used as follows: You are free to share - to copy, distribute and transmit the work - under the following conditions: Attribution. You must attribute the work in the manner specified by the author or licensor (but not in any way that suggests that they endorse you or your use of the work). Noncommercial. You may not use this work for commercial purposes No Derivative Works. You may not alter, transform, or build upon this work.

  63. What is a Creative Commons licence?
  64. The Creative Commons (CC), a non-profit organization, has released several copyright licenses known as Creative Commons licenses. The Creative Commons licenses give end-users rights in relation to a work, subject to certain conditions as selected by the author or creator. The rights given are to copy, distribute, display and perform the work. Conditions that may be imposed include: attributing the work to the author; non-commercial use only; non-derivative works only. More information on the Creative Commons Attribution-NonCommercial-NoDerivs Licence, as used in UNSWorks is available at http://creativecommons.org/licenses/by-nc-nd/2.5/au/

  65. Will material in UNSWorks be searchable through Google Scholar?
  66. UNSWorks has registered with Google Scholar so that deposited content will be discoverable through searches from Google Scholar. Many works in UNSWorks can be searched and accessed via: http://scholar.google.com.au/

    UNSWorks material is also searchable through the ARROW Discovery Service, an aggregated collection of material on Australian research repositories: http://search.arrow.edu.au/

  67. Does UNSWorks satisfy NHMRC and ARC requirements for dissemination of grant outcomes and research findings?
  68. UNSWorks is an institutional respository and therefore enables researchers to meet recommendations of funding bodies to deposit research output in an institutional or subject-based repository.

  69. Is there a limit on the amount of material an academic can deposit?
  70. There is no limit to the number of research outputs an academic can deposit and upload, provided that it fits the criteria for inclusion of material.

  71. Is the research academics are to upload retrospective?
  72. Academics are encouraged to upload a complete and retrospective collection of their research output, including material from research undertaken prior to their appointment at UNSW. Material deposited already on other institutional or subject-based repositories can be deposited on UNSWorks as well.

  73. When academics have work already published and hosted online by a publisher, and they upload a version into UNSWorks, does this mean there will be two version of their work available on the internet?
  74. The UNSWorks version of the work will generally not contain the publisher imprint and pagination, but, depending on the publisher copyright policy, may be the author's final manuscript, as accepted for publication. One of the aims of institutional repositories is to increase visibility and accessibility of research output. By providing online access to its contents, free of charge and without subscription, UNSWorks enables UNSW research output to be available to members of the public who may not have access to the published version.

  75. Are graduates required to lodge their PHD or Masters by Research thesis in UNSWorks as well as the ADT?
  76. PhD and Masters by Research students are required to lodge a digital copy of their thesis as a condition of graduation. Once a thesis has been deposited (submitted), it will be available online via UNSWorks and ADT. Please refer to the information on Digital Thesis Submission.

  77. If I believe that content on UNSWorks is in breach of copyright, how do I request its removal?
  78. UNSWorks retains the right to remove material from the repository if it is in breach of copyright, or if it contains confidential, plagiarised, fraudulent, sensitive, offensive, defamatory or unlawful material. Authors, creators or other copyright holders who wish to remove a work from the repository should make a written request to the University Librarian and/or UNSWorks Administrator (unsworks@unsw.edu.au), outlining the circumstances which necessitate its removal.
